5. STEP-BY-STEP EXECUTION & FILING GUIDE

Step 1: Document Customization Open the document in Microsoft Word or Google Docs. Use the "Find and Replace" function (Ctrl+H) to systematically replace all bracketed items (e.g., [Client Legal Name]) with your entity-specific data. Ensure dates conform to the ISO 8601 standard (YYYY-MM-DD).

Step 2: Signatory Verification Ensure the individual signing the document possesses "Binding Authority" via corporate resolution, board mandate, or bylaws. Retain a digital copy of the signatory's authorization if required by internal audit policy.

Step 3: Execution Process For maximum legal integrity, utilize a secure e-signature platform (e.g., DocuSign, Adobe Sign, or HelloSign). This creates a tamper-evident audit trail including IP addresses and timestamps for each signature.

Step 4: Record Retention Save the final, fully executed Agreement as a PDF/A (Archive format) to ensure long-term readability. Store the document in a secure, encrypted central repository (Template Registry or equivalent). Maintain a minimum retention period of seven (7) years following the termination of the agreement, or as required by local jurisdiction tax and audit statutes.

Step 5: Operational Integration Distribute copies to the respective IT, Finance, and Legal departments to ensure that Service Credit triggers and Reporting deadlines are tracked in your internal project management or ERP systems.
