STEP-BY-STEP EXECUTION & FILING GUIDE

  1. Preparation of Document:

    • Open the document in a word processor (Microsoft Word or Google Docs).
    • Use the Find and Replace function (Ctrl+F or Cmd+F) to locate all bracketed fields (e.g., [Principal Full Legal Name]).
    • Input the exact legal names as they appear on vehicle titles or corporate formation documents.
  2. Verification of Authority:

    • Ensure the individual signing for a corporate Principal has the delegated authority (e.g., Officer, Director, or authorized Fleet Manager).
    • Verify the VINs and vehicle descriptions if attaching a specific "Exhibit A" for a fleet.
  3. Digital vs. Wet Signature:

    • Governmental Acceptance: While many corporate contracts accept DocuSign, many State DMVs require original "wet" signatures and a physical notary seal on Power of Attorney forms. Check your local DMV requirements before signing digitally.
    • If digital is permitted: Use DocuSign or Adobe Sign with "Certified Digital Signature" settings enabled.
  4. Notarization:

    • The Principal must sign the document in the presence of a licensed Notary Public.
    • The Notary must complete the Acknowledgment section and affix their stamp/seal.
  5. Record Retention:

    • The Agent should retain the original LPOA.
    • The Principal should retain a high-resolution digital scan.
    • A copy of this LPOA must typically be presented at the DMV counter or uploaded to the DMV’s fleet portal during every transaction.
