6. Standard Operating Workflow

1. Initialization (Data Entry):

   • Open the Master Tracking sheet and navigate to the next available row.
   • Input the unique BoL Number adhering to the BL-YYYY-##### sequence.
   • Select the Mode of Transport from the drop-down list. This will dictate mandatory downstream validation (e.g., selecting LTL mandates an NMFC and Freight Class entry).

2. Carrier & Cargo Specification:

   • Complete Shipper, Consignee, and Destination Zip fields.
   • Enter the Carrier SCAC code. Verify the code exists within current carrier contract listings.
   • Input package counts, dimensions, and calculate Gross Weight (LBS). Ensure weights reflect certified scale outputs if dealing with FTL/Intermodal.

3. Compliance & Special Handling:

   • Populate Declared Value ($) accurately to ensure proper insurance underwriting and third-party logistics (3PL) liability coverage.
   • Enter any mandatory handling tags (Hazmat classifications, temperature ranges) in Special Instructions.

4. Lifecycle Tracking & Updates:

   • Change Shipment Status from Draft to Dispatched upon carrier gate-out.
   • Update status to In Transit at milestone check-ins.
   • Upon final destination drop, update status to Delivered and input the exact timestamp and signee name in the Proof of Delivery (PoD) column.

5. Audit & Reconciliation:

   • Review the Summary KPI Dashboard weekly to monitor transit bottlenecks, cumulative weight totals, and high-value cargo exposure.
   • Reconcile delivered line items against carrier freight invoices using the BoL number as the primary matching key.
