STEP-BY-STEP EXECUTION AND FILING GUIDE

  1. Document Customization: Use "Find and Replace" (Ctrl+H) in your word processor to replace all bracketed text (e.g., [Company Full Legal Name]) with the specific details of your engagement. Ensure all numerical fields (days, percentages) are finalized.
  2. Review: Have the final draft reviewed by internal stakeholders to ensure the scope of work in "Exhibit A" is granular enough to prevent "scope creep."
  3. Signatory Verification: Ensure the person signing for the Subcontractor has the corporate authority to bind their entity to a legal contract.
  4. Digital Execution: Upload the finalized PDF version to a platform such as DocuSign, Adobe Sign, or HelloSign. Ensure you have the "Audit Trail" feature enabled to capture the IP address and timestamp of the signatories.
  5. Record Retention: Once fully executed, save the document in a secure, encrypted corporate repository (e.g., SharePoint, Google Drive with restricted permissions). Maintain the original PDF for a minimum of seven (7) years per standard document retention policies for tax and audit purposes.
