4. Formulas & Calculation Logic

Probability Automation (Column H)

Auto-calculates stage probability based on textual stage definitions.

=IF(G2="1 - Prospecting", 0.1, IF(G2="2 - Discovery", 0.25, IF(G2="3 - Proposal", 0.5, IF(G2="4 - Negotiation", 0.75, IF(G2="5 - Closed Won", 1, IF(G2="6 - Closed Lost", 0, ""))))))

Weighted Pipeline Value (Calculated Column / Metric)

Computes risk-adjusted pipeline value for forecasting.

=I2*H2

Total Closed-Won ARR (Summary KPI)

Aggregates annual recurring revenue for successfully closed deals.

=SUMIFS(J:J, G:G, "5 - Closed Won")

Total Quota Attainment % (Summary KPI)

Calculates overall performance against aggregated team quota.

=SUMIFS(J:J, G:G, "5 - Closed Won") / E2

(Note: Cell E2 references the total team target quota).

Rep Performance Lookup (Dynamic Report)

Retrieves specific rep metrics using modern lookup arrays.

=XLOOKUP(A15, Rep_Directory!A:A, Rep_Directory!C:C, "Not Found")

Pipeline Health Status Flag

Evaluates average deal age and stage velocity to flag stalled opportunities.

=IF(AND(H2<0.5, TODAY()-F2>60), "STALLED", "HEALTHY")

5. Summary KPI Dashboard

Dashboard Underlying Formula Architecture

  • Total Closed-Won ARR: =SUMIFS(J:J, G:G, "5 - Closed Won")
  • Total Pipeline Value: =SUMIFS(I:I, G:G, "<>5 - Closed Won", G:G, "<>6 - Closed Lost")
  • Weighted Pipeline: =SUMPRODUCT((G:G<>"5 - Closed Won")*(G:G<>"6 - Closed Lost")*(I:I)*(H:H))
  • Quota Attainment: ='Summary KPI'!B2 / 'Summary KPI'!E2
  • Pipeline Coverage: ='Summary KPI'!B3 / ('Summary KPI'!E2 - 'Summary KPI'!B2)

6. Standard Operating Workflow

Step 1: Initialization & Directory Setup

  1. Navigate to the Rep_Directory tab and input active Account Executives, assigning unique Rep_IDs, regional alignments, and individual quarterly quotas.
  2. Validate that data validation lists for Regions, Segments, and Product Lines match organizational parameters.

Step 2: Data Entry & Opportunity Logging

  1. Record all new sales opportunities in the Master_Data table.
  2. Ensure mandatory fields (Deal_ID, Account_Name, Rep_ID, Contract_Value, ARR, and Close_Date) are populated.
  3. Never hardcode values into calculated columns (Probability). Let automated formulas handle risk weightings.

Step 3: Weekly Pipeline Maintenance

  1. Update Deal_Stage and Forecast_Category every Friday by 5:00 PM local time.
  2. Review automated Pipeline Health Status Flags. Any deal flagged as STALLED requires a mandatory note in the CRM / audit log.
  3. Adjust Close_Date entries if deals slip past quarter-end; ensure no past-date entries exist for open pipeline.

Step 4: Executive Review & Variance Analysis

  1. Reference the Summary KPI Dashboard during Monday executive syncs.
  2. Monitor Pipeline Coverage Ratio against the standard 3.0x benchmark. If coverage dips below 3.0x, direct sales leadership to increase prospecting activity in early stages (1 - Prospecting, 2 - Discovery).
  3. Reconcile monthly closed-won figures against finance ledger reports to maintain 100% data integrity between RevOps and Accounting.
