1. System Overview & Purpose
Purpose: The Equipment Repair Log & Reliability Tracker is an enterprise-grade operational spreadsheet model engineered to track maintenance work orders, quantify equipment downtime, calculate Maintenance Key Performance Indicators (MTBF, MTTR, Total Maintenance Cost), and monitor technician workloads across capital asset fleets.
Scope: Covers all corrective, preventative, and predictive maintenance events for physical assets, facilities equipment, or production machinery. It transforms raw service logs into actionable reliability metrics.
Data Update Cadence:
- Real-Time: Technicians or maintenance coordinators log repair events immediately upon work order closure.
- Weekly: Operations managers review open/pending backlogs and labor hour utilization.
- Monthly: Finance and Operations review aggregated maintenance spend, MTBF/MTTR trends, and asset reliability indexes.

6. Standard Operating Workflow
Step 1: Initialization & Asset Setup
- Populate the Master Asset Register (separate reference sheet) with Asset IDs, Equipment Names, Categories, and Installation Dates.
- Define drop-down validation lists in a dedicated
Liststab for:Asset Category,Maintenance Type,Priority Level,Status, andRoot Cause Category.
Step 2: Logging a Repair Event (Operational Routine)
- When a failure occurs or maintenance is scheduled, navigate to the bottom of the Master Data Table.
- Generate the next sequential Work Order ID (e.g.,
WO-2023-1013). - Enter the target Asset ID in Column B. Use data validation or lookup formulas to automatically populate the Equipment Name and Category.
- Select the appropriate Maintenance Type and Priority Level.
- Record exact timestamps for Report Date/Time and Downtime Start (if corrective).
Step 3: Closing the Work Order
- Upon job completion, record the Repair Complete timestamp. Column K automatically calculates total downtime.
- Enter the assigned technician name, total direct Labor Hours, and exact Parts Cost ($) from invoices/requisitions.
- Update the Status dropdown to
Closed - Resolvedand select the verified Root Cause Category to ensure accurate Pareto metric generation.
Step 4: Weekly & Monthly Review Management
- Weekly: Filter Column Q (
Status) for items markedOpenorIn Progressto manage technician backlogs. - Monthly: Review the Summary KPI Dashboard. Ensure the Preventive Maintenance ratio trends upward toward the 40% target to minimize reactive breakdowns. Export aggregated cost summaries for accounting reconciliation.
