ENTERPRISE EQUIPMENT MAINTENANCE LOG & RELIABILITY FRAMEWORK

Document ID: EML-SOP-202X-V1
Target Audience: Maintenance Managers, Reliability Engineers, Operations Directors

1. System Overview & Purpose

Purpose

This framework provides a deterministic, auditable tracking system for physical asset maintenance operations. It transitions facility and fleet management from reactive firefighting to predictive reliability-centered maintenance (RCM).

Scope

Covers all operational equipment across manufacturing, data center, medical, or logistics facilities, tracking every event from routine preventive maintenance (PM) to catastrophic corrective repairs (CM), complete with failure categorization and total cost of ownership (TCO) calculation.

Data Update Cadence

  • Real-Time: Technicians log labor hours, parts used, and status changes immediately upon task completion.
  • Weekly: Maintenance Supervisors review open work orders, overdue PMs, and inventory burn rates.
  • Monthly: Reliability Engineers analyze MTBF, MTTR, and maintenance budget variance.

4. Formulas & Calculation Logic

Implement these standard formulas within your spreadsheet environment (Excel / Google Sheets). Assuming data runs from row 2 to row 100.

Total Cost per Work Order (Column O)

=SUM(K2:L2)

(Calculates summation of Labor Cost and Parts Cost for row 2)

Total Maintenance Expenditure (YTD)

=SUM(O2:O100)

(Aggregates total spend across all logged maintenance operations)

Total Equipment Downtime (Hours)

=SUM(M2:M100)

(Computes aggregate production loss hours due to asset failures)

Preventive vs. Corrective Maintenance Ratio (%)

=COUNTIF(D2:D100, "Preventive") / (COUNTIF(D2:D100, "Preventive") + COUNTIF(D2:D100, "Corrective") + COUNTIF(D2:D100, "Emergency"))

(Measures maintenance strategy maturity; target should exceed 80% Preventive/Predictive)

Open Work Order Count

=COUNTIF(F2:F100, "<>Closed-Resolved")

(Tracks operational backlog)

Mean Time to Repair (MTTR) - Average Downtime per Corrective Event

=AVERAGEIFS(M2:M100, D2:D100, "Corrective")

(Calculates average downtime for corrective maintenance tasks)

5. Summary KPI Dashboard

Construct a dedicated dashboard tab referencing the Master Data Table using the following layout:

+-----------------------------------------------------------------------------------+
| EXECUTIVE MAINTENANCE KPI DASHBOARD |
+------------------------------------+----------------------------------------------+
| Metric Name | Formula / Value |
+------------------------------------+----------------------------------------------+
| Total Maintenance Spend (YTD) | `=SUM(MasterData!O2:O100)` |
| Total Unscheduled Downtime (Hours) | `=SUMIFS(MasterData!M2:M100, |
| MasterData!D2:D100, "<>Preventive")` |
| Preventive Maintenance Compliance | `=COUNTIF(MasterData!D2:D100, "Preventive") /|
| COUNTA(MasterData!A2:A100)` |
| Active / Open Work Orders | `=COUNTIF(MasterData!F2:F100, "Open") + |
| COUNTIF(MasterData!F2:F100, "In Progress")` |
| Overall Equipment Health Status    | `=IF([@[PM_Compliance]]>=0.85, "OPTIMAL",    |
|                                      IF([@[PM_Compliance]]>=0.70, "WARNING",      |
| "CRITICAL"))` |
+------------------------------------+----------------------------------------------+

Conditional Formatting Rules for Dashboard Flags:

  • OPTIMAL: Cell background Soft Green (#D4EDDA), Text Dark Green (#155724). Triggered when PM Compliance $\ge 85%$ and Open Critical WOs = 0.
  • WARNING: Cell background Soft Yellow (#FFF3CD), Text Dark Yellow (#856404). Triggered when PM Compliance is between $70%$ and $84.9%$, or 1-2 Critical WOs open.
  • CRITICAL: Cell background Soft Red (#F8D7DA), Text Dark Red (#721C24). Triggered when PM Compliance $< 70%$ or $\ge 3$ Critical WOs open $\gt 48$ hours.

6. Standard Operating Workflow

Step 1: Asset Initialization

Before logging any work orders, ensure the target asset exists in your Master Asset Register with a designated Asset ID (EQ-LOC-###), initial baseline cost, and criticality rating.

Step 2: Work Order Generation

When maintenance is required (scheduled or reactive):

  1. Generate a unique Work_Order_ID following the format WO-YYYY-####.
  2. Input the Asset_ID, select the appropriate Maintenance_Type and Priority_Level, and assign an initial Status of Open.
  3. Set the Scheduled_Date.

Step 3: Execution & Data Capture

As the technician executes the task:

  1. Update the Status to In Progress or Pending Parts.
  2. Upon completion, record the exact Completion_Date, assigned Technician_ID, Labor_Hours, and Parts_Cost.
  3. If the task is Corrective or Emergency, explicitly input the corresponding Failure_Code (e.g., FC-04 for electrical shorts, FC-02 for mechanical wear).
  4. Log total Downtime_Hours experienced by the production line.

Step 4: Verification & Closure

  1. Supervisor reviews the completed log entry to ensure all mandatory fields are populated.
  2. Change the Status to Closed-Resolved.
  3. The automated formula calculates Total_Cost, which flows into the Summary KPI Dashboard for management review.
